What’s the Difference Between Policies and Procedures?

The terms “policies” and “procedures” are often used together and sometimes seem interchangeable. However, they are different:

Companies should continually review their policies and procedures, updating them as needed to stay in line with new and changing laws and industry best practices. 

Risk mitigation. Clear procedures identify potential risks and outline steps to prevent or address them, protecting the company from financial and operational disruptions. Building a healthy reputation, especially where employees interact with customers, is essential. When employees understand expectations, their company is better protected from legal liability when issues arise. Good policies and procedures that detail good customer service, as well as social media and communication plans, help organizations reduce damage during a crisis.

How Do Successful Companies Implement and Maintain Strong Policies and Procedures?

Document policies and procedures in clear, concise, and accessible formats, such as written manuals and digital documents that employ visual aids like flowcharts, numbered lists, bulleted lists, diagrams, and infographics for easier reading and comprehension. Use simple language and avoid jargon.

Centralized access. Companies often use centralized platforms or intranets where employees can easily access the latest versions of policies and procedures. Ensure documentation is available digitally and easily accessible to all.

Training and Awareness

Leaders must employ essential communications skills to effectively instruct employees about changes in policies and procedures. Adapting communications styles to the situation at hand helps managers moderate the challenges of enforcing policies and implementing changes.

Regular training programs. Ensure new hires complete a thorough training and onboarding process so they understand expectations. Successful companies conduct regular training sessions to ensure that employees understand and can effectively implement the policies and procedures. This allows a business’s workforce to act appropriately in different situations while minimizing errors. Use real-world scenarios that allow them to learn how to solve problems in a risk-free environment. Encourage questions and feedback, providing clear feedback on how they can improve. Be open to their feedback regarding improvements to the training. Try pairing new employees with experienced ones for guidance and support.
